Status: Full-time (35 hours per week).
Compensation: Assessed to align with band 2 of the OM Canada team compensation policy (2026 FTE: $3,121.20 - $4,681.80). The successful candidate will be required to raise an agreed proportion of the finances required to fund this position.
This role fills a currently vacant position. AI will not be used to assess candidates for this role.
Overall Goal
The Long-term Missions Coach accompanies all applicants and serving long-term missionaries abroad.
This role contributes to expanding the organization’s vision for sending people into mission, accompanying them in the application process, remaining in touch and providing them with people care as appropriate during their period of service, and identifying areas for improvement by encouraging thorough feedback on their return.
While this position carries significant responsibility for implementation and coordination, final decision-making authority rests with the Director of People Services.
KEY RESULT AREAS (KRAS)
1. Placement (25%)
Oversee the application and preparation process in order to ensure applicants are received into OM Canada effectively.
Core Activities
• Respond quickly to any inquiries about joining OM
• Develop understanding of OM ministries and information that will help in advising people on best places to serve.
• Lead the application process in a way that is appropriate to the individual/family joining
• Assessing the applicants’ suitability for the OM field they want to join using interviews and other assessment tools as required
• Ensure pre-selection happens in accordance with OM People Services policies.
• Maintain good communication between sending field and applicant (as needed)
• Provide coaching for the applicant on support raising, spiritual and logistical preparation.
• Communicate acceptance or refusal of potential recruits’ applications to foreign fields
• Facilitate the training of applicants in areas of OM values, pre-field preparation, security issues, cross-cultural awareness, etc.
2. Administration (30%)
Gather and maintain personnel records in order to provide accurate, appropriate information and support to individual OMers and leadership.
Core Activities
• Maintain personnel records (electronic, paper, OpenPetra, D365 etc.) in a manner compliant with relevant data protection and human resource management law according to OM’s code of good practice.
• Provide feedback to the Director of People Services regarding necessary changes to forms and documents
• Ensure accepted applicants have appropriate Caleb access and email address
• Ensure new recruits are registered for appropriate conferences and events via OpenPetra (Get Ready, Launch, Short Term, etc)
• Support the People Services Director in applying International Policy and good practice as outlined in the Personnel Manual.
3. People Care (20%)
Provide support to OMers on the field to ensure they are taken care of and valued
Core Activities
• Maintain communication with OMers every 12 weeks (as needed) after the arrive on the field.
• Liaise with Benefits Administrator regarding any concerns or changes with insurance, TFSA, etc.
• Ensure clear communication regarding home assignments and departures from OM
• Facilitate field changes, status changes to career missionary, and commitment extensions for OMers
• Assist in matters of crisis management as necessary
4. Reporting (10%)
Provide accurate information to fellow HR team members and the Director of People Services in order to help with strategic planning and to improve processes and services.
Core Activities
• Report to Director of People Services on a regular basis numbers of people on fields, those leaving and joining.
• Sharing information with other Mission Coaches as appropriate during weekly meetings of People Services department.
5. Networking (10%)
Develop good relationships with stakeholders outside your field in order to strengthen understanding and working together
Core Activities
• Ensure that the applicant’s sending church has an appropriate opportunity to speak into the direction of the applicant service throughout their time with OM.
• Build relationships with sending churches to ensure they are appropriately resourced to support their workers, particularly during onboarding and offboarding.
• Ensure good on-going communication between sending and receiving fields
• Develop relationships with other field personnel officers through face-to-face meetings, Teams or email (as appropriate).

6. Ministry involvement (5%)
Ensure you are actively involved in team life at your location when possible, in order to ensure you are ministering to others and being ministered to.
Core activities
• Actively participate on a regular basis in team devotions, prayer times, meetings and social functions.
• Serve practically within the team to ensure whatever needs to be done is done well and the load is shared around.
• Seek to be an encouragement to your fellow team members.
7. Support base development (10%)
Actively develop and maintain a prayer and financial support base for your ministry with OM Canada, in order to resource your ministry and that of OM Canada with prayer and financial resources.
Core activities
• Maintain regular contact with your prayer partners, financial supporters and sending church(es) - developing relationships that minister to them and further your partnership with them.
• Develop your prayer and financial support base on a continual basis by asking individuals, groups and churches to join your support team as you have opportunity.
8. Safe working practices
Ensure work is carried out in accordance with written and verbal communicated internal and external safety, environmental and country specific legal regulation in order to ensure safe working practice.
Core activities
• Ensure that both your own and the area you are working in is kept clean, orderly and safe.
• Ensure a safe and correct usage and adequate maintenance of used tools and equipment.
• Work in accordance with verbal and written communicated safety and environmental regulations and understand and know the risks and risk assessments related to your role and duties.

General Required Competencies
• While professional personnel management training and experience are valued, we are willing to train a person in the role.

Technical Competencies
• Proficient in Microsoft Word, Excel and Outlook
• Proficient in the use of computer software currently in use by OM for communication, reporting, and personnel management. (D365, OpenPetra, Caleb)
• Comfortable with administration and able to work with necessary technology.

Other Requirements
• Valid passport for potential international travel.
• Willingness to occasionally work flexible hours.
Limits of Authority
Authorized to fulfill assigned tasks, research, and reporting responsibilities within established guidelines and under the supervision of the Director of People Services.
Does not hold signing or decision-making authority for funding agreements or strategic direction.
Environmental Aspects
This position may be performed at OM Canada’s head office or remotely. Occasional travel may be required.
Evaluation / Appraisal
Performance will be reviewed annually by the Director of People Services, based on achievement in the KRAs listed above.
